DistributeÌ is an integral part of the TAÌ system and provides advanced routing of transcription reports to printers and fax machines on the facility network and at physician offices. In addition to printing on a single printer within the HIM department or sending reports to a folder, TAÌ provides convenience and timesavings with advanced routing. Remote printing to nursing units saves time and telephone calls for inpatients. An electronic download feature is also provided. Distribution options are configurable by physician, by report type, by department, by type of routing (print or fax) to an unlimited number of destinations. The audit logging of TAÌ includes all printing and faxing activity with time, date, workstation ID, User ID and device ID. If copies were printed or faxed at different times, each instance creates a separate record in the log. TAÌ audit logging meets all requirements of HIPAA, CMS (HCFA) and JCAHO. DISTRIBUTEÌ ROUTING OPTIONS INCLUDE: ¨ Automatically print or fax immediately after completion ¨ Print or fax single transcripts on demand for specific needs such as insurance company requests ¨ Print a select group or range of transcripts on demand at one time to a local printer ¨ Includes a ‘never printed’ search criteria button to find jobs that have not been printed ¨ Automatically print or fax as part of a scheduled batch ¨ Automatically print or fax to facility departments (HIM, Radiology, Cardiology) ¨ Automatically print or fax to the current nursing unit where the patient resides ¨ Customized routing by: Report type, physician, physician group and by individual departments ¨ Print or fax before or after electronic signature ¨ Ability to reproduce partial or complete batch print ¨ Print or fax routing options are the same for originals and for auxiliary copies ¨ Print preliminary copy prior to Electronic Signature, if so configured, labeled “Preliminary” ¨ Automatically create & route carbons for the following physicians:

DOCUMENT SORTING AND DISTRIBUTION FEATURES:
¨ Print multiple copies of a report to multiple locations simultaneously ¨ Physician’s originals and copies sorted by physician number while batch printing ¨ Elimination of sorting due to colored separator page during batch print ¨ Name of physician recipient is printed at top of each document during batch print ¨ Physician’s copies printed or faxed as part of a physician group ¨ Copy recipients may be displayed on documents as cc’s or may be suppressed ¨ Several watermark options are provided to label copies including:
¨ Date and time prints automatically at top of each document at all locations ¨ Ability to produce automatic fax cover sheet with option to include transcriptionist-defined text ELECTRONIC DOWNLOADHospitals using the TAÌ download feature may now provide electronic transcription copies to healthcare providers such as radiology practices and physician groups. DistributeÌ allows authorized users to download selected reports from a secure (HTTPS) TAÌ web site for local storage in folders within their own network. Using the download feature, physician group practices can move transcription reports into electronic physician practice management systems. Practices can initiate a download each morning to receive the prior days transcription reports. Multiple naming conventions are offered using patient name, job number, work type and other options to index files according to the physician practice’s preference. Users can select to download all new reports or only specific jobs. TAÌ logs the download activity in the audit tracking system with other user actions i.e. transcribing, viewing, printing, faxing and editing. |
